Client Services Specialist

The Lighthouse of Pinellas (LHP) is seeking a full-time Client Services Specialist. The successful candidate will provide support and assistance to the adult case management and rehabilitation staff to ensure timely and accurate client service provisions and documentation. This position reports to the Director of Programs.

Primary Responsibilities: 

  • Conduct initial intake activities for adult Occupational Therapy (OT) and Independent Living (IL) Program referrals
  • Complete initial intake paperwork with new clients, assemble case files and enter required data into agency databases. Complete and submit documents and reports as required to document and invoice for client services
  • Perform all needed data entry into relevant databases as required per contract stipulations and funder requirements

Essential Functions: 

  • Process referrals for OT services, contact all patients referred for OT services, explain services, applicable fees and copays, gather relevant patient information, schedule assessments
  • Enter all patient information into Apricot database
  • Verify insurance, capturing any copays, unpaid deductibles and amount of unmet caps
  • Maintain clear timely communication with referring physicians
  • Complete new patient intake packages and send billing and insurance information to Finance
  • Assist in compiling and maintaining all documentation, records, schedules, progress reports, correspondence and related materials in a central file and electronic databases. Close out clients in Aware database, if applicable
  • Assist with the completion of reports as required by Agency and funding sources including Division of Blind Services (DBS) Client Surveys, summary reports, Agency surveys, physician referral reports
  • Complete statistical information according to DBS and Agency requirements
  • Provide information regarding Lighthouse of Pinellas and community services to callers, patients, physicians, and the community
  • Provide in-house monitoring of clients as needed and requested
  • Procure and maintain optical and non-optical devices inventory including ordering, receiving, tracking and reporting
  • Attend required Agency meetings and training

Nonessential Functions: 

  • Support LHP’s fundraising efforts
  • Perform other duties as assigned


Education: High School Diploma

Experience: Minimum one year experience as a Medical Secretary, Social and Human Services Assistant or Medical Records/Health Information Technician (or similar) requiredS:\Human Resources\Job Placement Ads\Client Services Specialist_1_12_18.docx

  • Proficient knowledge of Microsoft Office: Word, Excel, and Outlook
  • Knowledge of medical software and insurance billing practices
  • Ability to follow OSHA/HIPPA guidelines

Physical Demands: Lift equipment used in performing job responsibilities

Requirements: Pass Level II background checks
